INTRODUCTION

HeyMaid Referral Agency Ltd. ("HeyMaid," "we," "us," or "our") is committed to protecting your personal information. We manage your personal data in accordance with Alberta's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), as well as other applicable Canadian privacy laws.

This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our services or visit our website. It also outlines your rights and how to contact us with questions or concerns.

By using HeyMaid's services or website, you agree to the collection and use of information as described in this policy. We may update this policy from time to time. We will post any updates on our website with a revised effective date.

OUR PRIVACY PRINCIPLES

We identify the purpose for collecting your information before or at the time it is collected. We collect only what we need, use it only for the stated purpose, and keep it only as long as necessary. We collect personal information by lawful and fair means, protect it with reasonable security safeguards, keep it accurate and up-to-date, and make our privacy practices readily available to you.

. INFORMATION WE COLLECT

We only collect personal information that is reasonably necessary to provide our services and operate our business.

Contact Information

Your name, email address, phone number, and home or service address. We collect these when you request a quote, make a booking, or communicate with us. This allows us to manage your appointments, send confirmations, and reach you when needed.

Service Details

Information about your home and cleaning needs, including the size of your home, number of rooms, specific tasks, entry instructions, access codes, or any notes relevant to your service (such as pets, special instructions, or areas to avoid). Entry information is stored securely and used only on the day of service.

Payment Information

To process bookings, we collect payment details. HeyMaid uses Stripe, a third-party payment processor that complies with PCI-DSS industry security standards. Your full credit card number is not stored on our own servers. We retain non-sensitive transaction details such as the amount and date of each payment for record-keeping purposes.

Communication Records

We keep records of your communications with us, including emails, texts, or call notes. This helps us maintain accurate service history and ensure your needs are met in current and future bookings.

Website Usage Data

When you visit our website, we automatically collect information about your device and how you interact with our site, including your IP address, browser type, device information, pages visited, and the date and time of your visit. We use tools like Google Analytics to gather this data in aggregate form to improve our website and marketing.

Cookies and Tracking Technologies

Our website uses cookies and similar technologies to enhance your experience and support analytics and advertising. See the Cookies section below for full details.

2. HOW WE USE YOUR INFORMATION

To Provide and Manage Services

We use your contact and address information to schedule and perform cleaning services. Cleaners will have access only to the information necessary to carry out the job — such as your first name, address, and any entry instructions or service notes.

Payment Processing

We use your billing information to charge you for services rendered. Charges are processed after service is completed.

Communications

We use your contact details to send booking confirmations, reminders, receipts, and service updates. We may also contact you for follow-up feedback or to notify you of any important changes to our services or policies.

Marketing and Promotions

With your consent, we may send you promotional emails, SMS messages, or information about new services or offers. All marketing communications comply with Canada's Anti-Spam Legislation (CASL). You can opt out at any time — see Your Choices below.

Analytics and Improvement

We use website usage data to understand how our platform is being used, improve our booking flow, and troubleshoot issues. This data is typically analyzed in aggregate and is not used to identify individuals.

Advertising

We may use cookies and pixel data from tools like Facebook Pixel or Google Ads to show relevant advertising to people who have visited our site. This data is handled by those third-party platforms under their own privacy policies.

Legal and Compliance

We may use or retain your information to comply with legal obligations, enforce our agreements, collect unpaid fees, or protect the safety and rights of HeyMaid, our Cleaners, and our clients.

We do not sell your personal information to third parties or use it in ways you would not reasonably expect.

3. COOKIES AND TRACKING

Our website uses cookies and similar technologies including pixel tags for the following purposes:

Necessary Cookies: Essential for the website and booking platform to function properly.

Analytics Cookies: Google Analytics uses cookies to help us understand how visitors use our site. This data is collected in aggregate and does not identify individual users.

4. DISCLOSURE OF YOUR INFORMATION

HeyMaid does not sell or rent your personal information to third parties. We share your information only in the following limited circumstances:

With Cleaners

When we refer a Cleaner to your property, we share only the information necessary for them to complete the job — typically your first name, address, entry instructions, and service notes. Cleaners are bound by confidentiality obligations and may not use your information for any purpose outside of the booked service.

With Service Providers

We work with trusted third-party vendors including our CRM and scheduling software, payment processor (Stripe), email and SMS platforms, and analytics tools. These providers access only what is necessary to perform their function and are required to handle your data securely.

Legal Requirements

We may disclose your information if required by law, court order, or government authority, or if necessary to protect the safety of any person, prevent fraud, or enforce our agreements.

Business Transfers

If HeyMaid is involved in a merger, acquisition, or sale of business assets, your information may be transferred to the new entity. We will notify you in advance where required by law and ensure your information remains protected.

Professional Advisors

We may share information with our lawyers, accountants, or insurance providers for legitimate business purposes. These parties are bound by confidentiality obligations.

5. DATA SECURITY

We take reasonable and appropriate measures to protect your personal information from loss, theft, and unauthorized access, use, alteration, or disclosure. Our security measures include:

- HTTPS encryption on our website and booking platform

- Restricted internal access — staff access only what they need for their role

- Confidentiality agreements signed by all staff

- Secure cloud-based software with regular updates and patches

- PCI-DSS-compliant payment processing through Stripe

- Secure disposal of any physical or electronic data that is no longer needed

No method of electronic transmission or storage is 100% secure. In the unlikely event of a data breach that affects your personal information, we will notify you and the appropriate authorities as required by law and take immediate steps to address the situation.

6. DATA RETENTION

We retain your personal information only as long as necessary for the purpose it was collected or as required by law.

Service and payment records are kept for up to seven years for tax and legal compliance. If you have not used our services in a significant period of time, we may archive or securely delete your information. Marketing contact information is retained until you unsubscribe, after which your email is added to our suppression list to prevent accidental future contact. Cookies and tracking data are subject to the retention policies of the respective platforms (such as Google Analytics).

When data is no longer needed, we securely delete or anonymize it. Paper records are shredded and electronic data is permanently deleted.
